General Terms and Conditions
Please read these Terms and Conditions (“Terms”) carefully before using this website, which is operated by Tripfinity Journeys Sdn Bhd (“us”, “we”, or “our”). Your access to and use of this website is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all visitors, users and others who access or use this website. By accessing or using this website you agree to be bound by these Terms. If you disagree with any part of the Terms then you may not access or use this website.
MITF means – Malaysian International Taekwondo Federation.
Registered Participant means – Participant who have registered for the MITFM 2025 competition
Registration ID means – MITFM 2025 ID that is provided along with Complimentary Shuttle Pass, Sightseeing Pass and Discounted Vouchers.
Booking Confirmation Voucher means – Voucher that will be mailed to Registered Participants given e-mail id in booking form as confirmation towards booking made.
Tripfinity Journeys means – MITF Officially appointed Event Organisers for MITFM 2025
Prices
Prices are correct at the time of publication; however, as airfares, aircraft availability, hotel rates and room availability, tour prices and availability, ticket prices for events, vehicle type, and transfer availability continually fluctuate and add applicable surcharges, package prices and availability will change accordingly. In the event of computer or human error, we reserve the right to re-invoice customer for the correct price or service.
Reservations
Reservations can be made by visiting www.mitfevents.com, or contacting us via email at book@mitfevents.com . Pursuant to Malaysia’s Secure Travel requirements, travelers are
required to make reservations in the name that is listed on the official travel document he or she will use for travel. Travelers must ensure their names are correctly listed on invoices and travel package documents. If you need to make any changes to a name after travel documents have been issued, you will be responsible for any applicable name change fees.
Accommodation Policy
By making a reservation with a hotel, you accept and agree to the relevant cancellation and no- show policy of that hotel, and to any additional (delivery) terms and conditions of the hotel that may apply to your reservation or during your stay, including for services rendered and/or products offered by the hotel (the delivery terms and conditions of a hotel can be obtained with the relevant hotel).
The general cancellation and no-show policy of each hotel is made available in the hotel information pages, during the reservation procedure and in the confirmation email. Please note that certain rates or special offers are not eligible for cancellation or change. Please check the room details thoroughly for any such conditions prior to making your reservation.
If you wish to review, adjust or cancel your reservation, please revert to the confirmation email and follow the instructions therein. Please note that you may be charged for your cancellation in accordance with the hotel’s cancellation and no-show policy. We recommend that you read the cancellation and no-show policy of the hotel carefully prior to making your reservation.
MITF Special Services Policy for its MITFM 2025 Official Hotel’s STAY BOOKING
Only official MITFM 2025 Hotels will be facilitated with Shuttle Services to and from the event venue (Freeport A’ Famosa Outlet Convention Center, Alor Gajah, Melaka)
Only official MITFM 2025 Hotels will be facilitated MITF Hospitality Secretariat for PRE-CHECK IN
assistance.
Special Stay Package Room rates provided is only applicable for purchase made by Registered Team / Clubs Only.
Registered Clubs / Teams may make unlimited booking of Special Stay Package available provided booking is made by their respective Team / Clubs Only. Booking inquiries are only entertained if made by the respective Club’s Manager / Coach only made along with their KIHAPP registration ID for identification purposes.
WELCOME KIT with complimentary Inclusions under the STAY BUNDLED PACKAGE is only provided based on participant and accompanying participants names as provided during reservations made. No additional names will be entertained during check in formalities.
No of Accompanying Participants must be according to maximum no of persons allowed in rooms booked only.
WELCOME KIT will be made available at your booked hotels during check in and can only be collected by Club / Team Manager / Coach based on identification made through official receipt produced.
Loss of Registration ID will only be replaced with a chargeable Penalty Fees of RM50.00 per unit. Payments and Cancellation Policy
A deposit or full payments is due at the time a reservation is made. All deposits and payments made are non-refundable and non-transferrable unless otherwise stated. All reservations, except where specified, will require a deposit and will clearly specify the amount due as well as monthly payment plans, if applicable. We reserve the right to cancel your booking if full payment is not received in a timely fashion.
Once reservations have been made, cancellations will only be accepted in writing via email to amendorcancel@mitfevents.com. This email should include your full name, date of travel, and invoice/account/booking ID number.
Changes to an existing reservation, regardless of the reason for the change, will incur a charge per person, plus any additional supplier/vendor fees which will be determined at request of charges. This policy includes name changes, and/or removal/addition of any services as stated in the respective vendors cancellation policies. MITF bookings are waived of these chargers.
By submitting a deposit or payment, you formally accept our Terms and Conditions as stated herein. Any violation on your part will constitute a breach and forfeiture of any and all payments.
MITFM 2025 TRANSFER SERVICES: Terms & Conditions
Meet & Greet: Your pick-up service will be waiting at the arrivals hall of the relevant terminal and will have a welcome sign with your name so that you can recognize it. Once the Passenger has been met, the service provider will lead the way to the vehicle pre-arranged for transport;
Waiting Time: Airport transfers, have a free waiting period of 120 minutes from the scheduled pick-up time (which is not necessarily the arrival time of the flight, train or ship);
Pick up transfers from Port or transfers to railway stations, is strictly 30 minutes from estimated time of arrival (ETA) including customs & immigration clearance.
in the case of transfers other than airport transfers, the free waiting period is 15 minutes (for example, local transfers from private addresses); Due to time constraints, the guaranteed wait will be equal to the duration of the service.
Any waiting time beyond the time mentioned may incur waiting charges.
Point to Point Services: The Passenger is picked up at the of the main entrance of the pick-up address; the service provider assists the Passenger on the way to and into the vehicle and drops the Passenger off at the drop off point of the main entrance of the destination address.
TJ or its suppliers will pick you up based on the pickup time as stated in your vouchers. If
you miss your pick up you will be responsible to make your own arrangement at your own cost; NO REFUND will be granted.
You will be required to present your service voucher at point of pick up for each service/tour. The service provider has the right not to provide you with services if you fail to produce the voucher upon request.
All transfers/tours have been prepaid by you at time of booking; please do not pay for any services at time of transfers/tours unless stated otherwise.
TJ will not be responsible if you are approached by unauthorized agents/persons and NO REFUND will be granted.
It is your responsibility to provide the accurate flight information at time of booking to ensure proper transfer arrangement. The Management has the right to forfeit the charges if flight information is inaccurate.
TJ Client Services must be notified of any changes to your flight schedule, at least 24 hours
prior to arrival/departure. If you fail to do so, you may not receive the service and no refund will be granted.
METHODS OF PROVISION OF SERVICES AND AVAILABILITY OF THE SAME
The Services covered by the contractual relationship governed by these General Terms and Conditions of Service are the services present in the electronic catalogue published on the Platform at the time of the Booking by the Client.
Each Service is accompanied by an information sheet (“Service Sheet“), which illustrates its main characteristics. It is understood that the images and descriptions included herein may not be perfectly representative of the Services which may differ in model/category, color, shape or
size of the car to be used for the transport service, also in relation to the geographical area in which the transport service is actually to be rendered by the Service Provider. TJ undertakes to ensure that the Services are represented in a way that corresponds as closely as possible to reality, however, these may differ significantly from those shown in the car model, color, shape or size, also in relation to the availability of the Service Provider in relation to the transport
services to be intermediated. To the above it should be added that:
- transport services to be carried out by minibus may be carried out with two or more Vans/SUVs such as to guarantee, in any case, the transport of all Passengers;
- transport services may be performed by a different vehicle with a larger capacity or belonging to a higher type and/or category (“Free Upgrade“). By way of example, the Customer who has chosen a standard Sedan at the time of Booking, can be transported by a Standard Van / First Class Van or a MiniBus.
Following the conclusion of the Service Contract, and therefore of the Booking Confirmation, TJ will carry out its intermediation activity by requesting the Service Provider – in the name and on behalf of the Client – the availability to carry out the requested transport service.
Within 24 (twenty-four) hours prior to the date and time of the start of the airport/local transfer or hourly transport, TJ will send an e-mail to the Client/Passenger (“Transport Communication“) with which it will inform the latter:
the conclusion of the Contract of Carriage, providing the Customer/Passenger with all the details of the Service Provider in charge and of the transport.
In the event that, for any reason, the data contained in the Transport Communication should be changed, TJ will send the Customer/Passenger a new Transport Communication. It is understood that the subsequent Transport Communication will replace and cancel the previous one, and it is the only one that will be authentic.
The Transport Communication will contain the itinerary of the transport service, including the place of departure, the place of arrival and the specific time of departure. The Customer
acknowledges that the actual departure time may differ by 15 minutes, early or late, from the departure time indicated in the Transportation Notice.
PRICES OF STAY, TRANSFERS AND PRE & POST TOUR SERVICES
The prices of the stay services, transport services and pre & post excursions services to be
carried out by TJ to be identified indicated on the Platform are to be understood in MYR will be net including GST.
The price of the transport services to be carried out by a TJ to be identified is not fixed, but depends on the date and/or place of departure and/or arrival, the transport service requested (airport transfer or hourly transport), the additional services requested, the time and distance. It is therefore the Customer who, by using the services and entering the data of the service requested in the Booking phase, actively contributes to the determination of the price.
Any costs paid by the Client for the conversion of the currency used by the Client shall be borne exclusively by the Client.
CANCELLATIONS, CHANGES TO YOUR BOOKING AND REFUNDS
Stay Service Cancellations
MITFM 2025 OFFICIAL HOTEL’S – Cancellation and no-show policy
Each MITFM 2025 official hotel cancellation & refund policy will be sent to you based on an e- notification along with your reservation notification.
Transfer Service Cancellation
Notwithstanding the foregoing, the Client has the right to cancel the Booking made in accordance with the cancellation policies.
Upon first entry inside the 24-hour timeframe prior to the pick-up time, the option to
reschedule your reservation and cannot be reversed; therefore, any successful attempt to reschedule the pickup within this 24-hour window will not restore the ability to amended booking however you may choose an option to purchase for waiting time add-on for the waiting time involved should your flight is delayed or change of flight occurs by sending your booking details and rescheduled pick up time by WhatsApp to +60193105346
In the event your arrival time is earlier than your booked pick-up time there will be a 25% penalty imposed based on your Invoice value from your original booking done.
Should in the event the penalty charges imposed are not to your acceptance you may cancel your booking with no refund or send in a new booking request.
Specifically, the Customer may request the cancellation of the Booking, without prior notice and without penalty, before 120 (One Hundred Twenty) hours prior to the date and time scheduled for the start of the transport service.
In the event that the Customer requests the cancellation of the Booking within 48 (twenty-four) hours prior to the date and time scheduled for the start of the transport service, the same will not be entitled to any refund.
In order to proceed with the cancellation of the Booking, the Client must send an e-mail notification at cancel&amend@mitfevents.com
Only the club Manager or Coach may request the cancellation of the Booking, as the Passengers and/or third parties, even if authorized by the Client, have no right and/or right to do so unless your name is registered as the LEAD NAME in that particular booking ID
Pre & Post Excursion Service Cancellation
Refund Policy
All payments to us are non-refundable and non-transferable unless otherwise stated in special cases. This policy is because we have contractual agreements with hotels, airlines, and other vendors that will not allow us to obtain any refunds. This policy enables us to keep our package prices competitive and allows you to make monthly payments on your vacation. However cancellation policies will be stated in your booking confirmation for your records or if otherwise refunds are applicable.
Travel Documentation
Traveler is responsible for ensuring that he or she meets foreign entry requirements and that his or her travel documents, such as passports and visas, are valid and compliant. We urge customers to review travel prohibitions, warnings, announcements, and advisories issued by the relevant governments prior to booking travel to international destinations.
For countries that may require a supporting SPONSOR LETTER, kindly send us your request in writing in order for us to revert to you accordingly. The issuance of a SPONSOR LETTER will be subject at MITF SECRETARIAT own discretion.
Trip Details and Documentation
Provided full payment is received no later than your Final Payment Due date, travel details and documentation will be sent via email and/or mail no later than 21 days prior to travel. If paper documents are requested when e-documents are available.
Age Requirements
Unless otherwise stated, no one under the age of 21 is allowed to attend our vacations. If children are allowed, all children under 18 must be accompanied by an adult.
Intellectual Property Considerations
This website and its original content, features and functionality is owned by Tripfinity Journeys Sdn Bhd and is protected by international copyright, trademark, patent, trade secret, and other intellectual property or proprietary rights laws.
Links to Third-Party Websites
This website may contain links to third-party web sites or services. We do not own, have no control over, and assume no responsibility for the content, privacy policies, or practices of any third-party websites or services. By accessing and using this website, you further acknowledge and agree that Tripfinity Journeys Sdn Bhd shall not be responsible or liable, directly or indirectly, for any damage or loss caused or alleged to be caused by or relating to use of or reliance on any such content, goods or services available on or through any such websites or services.
Indemnification
You agree to defend and indemnify Tripfinity Journeys Sdn Bhd and/or its respective suppliers/vendors, and any of their officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal and accounting fees, brought by third parties as a result of:
- your breach of these Terms,
- your violation of any law or the rights of a third party, or
- your use of our Services
Assumption of Risk
By using Tripfinity Journeys services, you are aware that travel such as that you are undertaking involves hazardous activities, with a risk of illness, injury or death which may be caused by forces of nature, animals, insects or flora, the negligence of Tripfinity Journeys, or other persons and companies known or unknown, or of willful or criminal conduct of third parties. You are aware that weather conditions may be severe, adverse and/or unpleasant. You are also aware that medical services or facilities may not be readily available or accessible during some or all of the time during which you are participating on the trip. In order to partake of the enjoyment and excitement of this trip you are willing to accept the risks and uncertainty involved as being an integral part of your adventure. You hereby accept and assume full responsibility for any and all risks of illness, injury or death and of the negligence of Tripfinity Journeys and agree to hold harmless and release Tripfinity Journeys from claims of third-party negligence. You understand the physical requirements of the activity in which you will be participating, and you currently have no known physical, medical or mental condition, which would impair your ability to participate in travel or your safety in this activity, and you are willing to assume all risks that may be created, directly or indirectly, by any such condition.
Media Release
We may take photographs or video (“media”) of our trips/services, and travelers grant us permission to do so, and for us to use this media for promotional or commercial use without payment of any compensation to traveler.
Termination
We may terminate or suspend access to our website immediately, without prior notice or liability, for any reason whatsoever, including without limitation if you breach these Terms.
All provisions of these Terms, which by their nature should survive termination, shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity and limitations of liability.
Governing Law
These Terms shall be governed and construed in accordance with the laws of Malaysia without regard to its conflict of law provisions. Any legal action that could arise out of the use of or access to this website must be brought in a court of law located in Malaysia.
Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights. If any provision of these Terms is held to be invalid or unenforceable by a court, the remaining provisions of these Terms will remain in effect. These Terms constitute the entire agreement between us regarding this website, and they supersede and replace any prior agreements we might have regarding the website.
Notice of Changes
We reserve the right, at our sole discretion, to modify or replace these Terms at any time. We will provide notification of changes on this page if material changes to this policy are made. What constitutes a material change will be determined at our sole discretion.

INDEMNITIES
It shall be the responsibility of the participants from the respective teams to have already validly completed all the attached forms, with copies of I.C or birth certificates or passports, and have them signed indemnifying the Organizing Committee of the, MALAYSIA ITF INVITATIONAL INTERNATIONAL TAEKWON-DO CHAMPIONSHIP, MELAKA 2025
its officials and other contestants from any claims of injuries, losses, fatal or
otherwise arising in the course of participation in this championship or any other activities therefore.
All participants below the age of 18 MUST have the consent of their parents/guardians.
It shall be the responsibility of the respective schools & clubs to ensure that participants and officials are covered with effective insurance coverage.
